Can One QuickBooks Desktop License Run Two Companies?

If you run more than one business, you are probably wondering whether you need to buy QuickBooks twice. You do not. One QuickBooks Desktop license lets you create and manage multiple company files.
How company files work
In QuickBooks Desktop, each business is a separate company file. Your license is not tied to a single file — it is tied to the software installed on your computer. You can create a new company file for a second business, a rental property, a side venture, or a nonprofit, and switch between them from the File menu.
Each company file keeps its own chart of accounts, customers, vendors, and reports. Nothing bleeds between them, which is exactly what you want for clean books and separate tax filings.
The one limit worth knowing
You work in one company file at a time. Switching takes a few seconds through File → Open Previous Company, but you are not looking at two sets of books side by side in the same window.
For most people running two businesses this is a non-issue — you do one set of books, then the other. If you genuinely need to compare two companies at the same moment, you would open a second instance of QuickBooks, which is possible but heavier on your computer.
Where the user count fits in
This is where two questions get tangled together. Company files and user seats are separate things:
- Company files — how many businesses you track. Not limited by your license.
- User seats — how many people can be in one file at the same time. This is what "Single User" or "3 Users" refers to.
So a single-user license running three companies is perfectly normal: you are one person, doing three sets of books, one at a time.
A note for accountants
If you keep books for clients rather than for your own businesses, look at the Accountant or Enterprise Accountant editions instead. They are built for working across many client files and include tools the standard editions do not have, such as batch entry and client data review.
